Depeche CRM

Every lead your site and chat bots capture lands in one place, with agents handling the follow-up so nothing goes cold.

// Service 07 ¡ Depeche CRM

Every lead in one place. None of them going cold.

Most small businesses do not lose leads because the marketing failed. They lose them because an enquiry landed in an inbox on a Friday, got read on a phone, and nobody followed up on Monday.

Depeche CRM is our own customer platform, built for service businesses. Every enquiry your website, forms and chat bots capture lands in one place, tagged and timestamped, with a full history of everything that person has ever done with you.

Then it follows up on its own. Sequences fire on what people actually do rather than on somebody remembering, so the lead who downloaded a guide at midnight gets a useful email at nine the next morning without anybody lifting a finger.

24/7 Follow-Up That Never Forgets

// Where leads actually die

Four ways good enquiries quietly disappear.

None of these look like a problem while they are happening, which is exactly why they cost so much.

01

They live in five places

Some in the inbox, some in a spreadsheet, some on a notepad by the phone. Nobody can see the whole picture, so nobody owns it.

02

Follow-up depends on memory

The second and third contact is where most deals are actually won, and it is the first thing to be forgotten in a busy week.

03

You pay per contact

Most platforms charge more as your list grows, which quietly punishes you for the exact thing you were trying to achieve.

04

Your list sits on their server

Your most valuable business asset, held by a company that can change its pricing, its terms or its mind at any point.

// What it does

What Depeche CRM actually gives you.

Everything a service business needs to keep track of people and follow up properly. Nothing it does not.

One contact record

Every enquiry, email, purchase and form submission for a person, on one screen, in order. No more piecing it together.

Tags and segments

Group people by what they asked about, what they bought or how long they have been quiet — then talk to just that group.

Email campaigns

Newsletters and announcements sent to the right segment, written and scheduled properly rather than blasted at everybody.

Automated sequences

Follow-ups that fire on their own — a welcome series, a nudge after a quote, a check-in six months later.

Captures from everywhere

Website forms, the quote modal, chat bot conversations and checkout all feed the same database automatically.

Knows what they bought

Purchase history sits on the contact record, so you can tell a first-time buyer from someone on their fifth order.

Reporting that means something

Opens, clicks and what actually turned into money — so you can stop guessing which emails were worth sending.

Custom fields

Track whatever your business actually cares about — job type, renewal date, property size — not just name and email.

// Automations

The part that works while you sleep.

An automation is just a rule: when this happens, do that. Strung together, they become the follow-up your business never had time for.

What starts one

Something a person does.

  • Submits a form or requests a quote
  • Has a conversation with your chat bot
  • Buys something, or abandons the checkout
  • Opens an email, or pointedly does not
  • Goes quiet for a set number of days
What happens next

Whatever you decide it should.

  • Send an email now, or in three days, or next Tuesday
  • Tag them so the right segment picks them up
  • Notify you, so a hot lead gets a human quickly
  • Branch on what they did or did not do
  • Stop the sequence the moment they reply or buy

// How it runs

Set up around how you already work.

A CRM nobody uses is worse than no CRM. So we build it around your actual process rather than handing you an empty database.

01

We map what happens now

Where enquiries come from, who touches them, and where they currently fall through. That gap is what the system is built to close.

Week zero
02

Installed on your site

It goes on your own WordPress, so your contacts never leave your hosting. Existing lists are imported and tidied on the way in.

Setup
03

Everything wired to feed it

Forms, the quote modal, chat bots and your store all connected, so from that day on nothing arrives anywhere else.

Setup
04

First automations built

We start with the two or three that pay for themselves — new enquiry follow-up, post-quote nudge, and a win-back for people gone quiet.

First month
05

Handed over and trained

You get shown how to run it, and we stay available to build new sequences as you think of them.

Ongoing

// Why it lives on your site

Owned, not rented.

This is the difference that matters most, and the one people only appreciate two years in.

Depeche CRM

Runs on your own website.

  • Your contacts sit in your own database
  • No per-contact pricing as your list grows
  • Nobody can lock you out or change the terms
  • Same login as the site you already manage
  • Export everything, any time, without asking
The usual alternative

Rented from a platform.

  • Your list held on somebody else's servers
  • A bill that rises every time you succeed
  • Features moved into a higher tier without warning
  • Another login, another system, another silo
  • Leaving means untangling years of automations

// What feeds it

Connected to everything else you run.

A CRM is only as good as what flows into it, so we wire it to the things already generating enquiries.

  • Website forms
  • Quote requests
  • AI chat bots
  • WooCommerce
  • Membership & courses
  • Booking systems
  • Webhooks
  • Email delivery

If something you use is not on this list, ask. Most systems can be connected, and where they cannot we can usually bridge them.

// Before you ask

Questions we get every week.

Is this going to be another system nobody uses?

That is the usual failure, and it happens when a CRM is installed and handed over empty. We build the first automations with you and wire your existing forms into it, so it is doing useful work from the first week.

Can I bring my existing list?

Yes. We import from whatever you are on now — spreadsheets included — and tidy the duplicates and dead addresses on the way in rather than carrying the mess across.

Do I need my website built by you?

No, but it does need to be WordPress, since that is where it lives. If you are on something else we would need to talk about that first.

What does it cost as my list grows?

Nothing extra. That is the main reason it runs on your own site. Ten thousand contacts costs the same as one hundred, which is not true of most platforms.

Will the emails actually arrive?

Deliverability is its own job, so sending is routed through a proper email service rather than your web server. We set that up as part of the install.

Who owns the data?

You do, completely, and it is on your own hosting. Export the lot whenever you like. Nothing about it depends on us staying involved.

Stop losing leads to a busy week.

Tell us where your enquiries come from and what happens to them now. We will show you what the follow-up could look like instead.
